Partner terms
This agreement governs how a rental company lists vehicles on Rentrium and what it pays us for doing so. It is not the rental contract — that is between you and the person renting, on your own rental terms.
In force since 11 Oct 2026 · v2.3
Who we are
Rentrium is established in Greece, with its registered office at Χρήστου Λαδά 34, 11147, Αττική. ΑΦΜ 803418067, ΔΟΥ ΚΕΦΟΔΕ Αττικής.

1. The parties
Rentrium is established in Greece, with its registered office at Χρήστου Λαδά 34, 11147, Αττική. ΑΦΜ 803418067, ΔΟΥ ΚΕΦΟΔΕ Αττικής. In this agreement "we" and "Rentrium" mean the business that holds that ΑΦΜ, and "you" means the rental company that has registered an account and listed at least one vehicle.
You confirm that you contract with us as a business and not as a consumer, and that the details you give us at registration are yours and are accurate. This agreement governs everything between us about your listing on Rentrium. The Rentrium terms of service are written for consumers and do not govern that relationship; where the two say different things about the same point — the grounds on which listings or an account can be restricted or suspended, above all — this agreement is the one that applies to you. You can reach us at support@rentrium.gr.
2. What Rentrium is, and what it is not
Rentrium is a marketplace. We are not your agent.
You list your own vehicles, you set your own prices, you write your own rental terms and you hand over the keys. We provide the search, the booking, the step that sends a renter who pays online to your own payment provider, the record of what was agreed, and the rules about what a listing may claim.
The rental contract is between you and the renter, on the rental terms you published and that were shown to them before they booked. We are not a party to it. We do not inspect vehicles, we do not verify insurance or ΚΤΕΟ, and nothing we do vouches for you to a renter.
3. Listing, and what makes a vehicle bookable
You register with a Greek ΑΦΜ in a valid format, the name your renters will see and the kinds of vehicle you rent out; nothing else about your company is asked for at registration. We look your ΑΦΜ up in ΓΕΜΗ, the General Commercial Registry. If ΓΕΜΗ has an active business on record under that ΑΦΜ and you have not already entered a registered name, that business’s registered name is filled in; otherwise you enter it yourself in your portal. Either way you can correct it there. Your registered name has to be on record with us before your subscription can start, because our invoices to you carry it. What ΓΕΜΗ returns does not by itself decide whether you can register or list vehicles. After that, each of the following has to be true before a vehicle of yours is offered to a renter, and all of them are enforced by the software rather than reviewed by a person.
- The email address on the account that owns the company has been confirmed by following the link we send to it.
- Your subscription is active, and no invoice of ours is unpaid after its due date.
- The vehicle has a branch, and that branch has a region.
- The vehicle has a daily rate.
While any of them is outstanding your vehicles do not appear in search results and cannot be booked. There is no manual override and no approval queue. We do not otherwise check what you list before it is published.
You are responsible for the accuracy of everything in a listing, for holding whatever licences, insurance and roadworthiness certificates the law requires of you, and for honouring every booking made through Rentrium. A booking paid online discharges the renter’s obligation to pay the rental price in full: you may not ask them to pay it again at the desk. Anything outstanding between you and us, an unpaid invoice included, is a matter between you and us and never between you and the renter.
4. What you decide
You set the daily rate for each vehicle, and any seasonal rates for particular date ranges. We do not price your vehicles and we never change a price you have set.
You write your own rental terms: the deposit, the minimum driver age, the fuel policy, the shortest and longest rental you accept, how much notice you need, the turnaround gap between rentals, and your cancellation rule. Those terms are shown to the renter on the same page as the button that makes the booking. What you did not declare there you may not charge at the counter: we tell renters that a charge never shown to them before they booked is no part of their contract and that they may refuse it.
Every booking keeps its own copy of the rental terms that were on screen when it was made. A change you make afterwards applies to new bookings and cannot reach back into one somebody already holds.
You decide your branches and their opening hours, which vehicles are off the road and when, whether you deliver and what you charge for it, and what extras you offer.
You choose how renters pay you: online, into your own account with a payment provider, or at your desk. One choice covers bookings made through search and through your branch page alike, and changing it affects only bookings made afterwards. Choosing online needs an active payment provider account connected in your portal. If that account stops being active while you have chosen online, renters are told to pay at your desk until it is active again, and the bookings they make meanwhile are paid at your desk. If your renters pay at your desk, you may also choose to approve each booking before it is confirmed; if you decline one, it is cancelled and the renter is told.
5. Our commission
For every booking a renter makes through Rentrium, whether they pay online or at your desk, you owe us commission of 5% of the booking value, unless they make it on your own branch page, as set out below. That figure is VAT-inclusive: 5% is the whole of what you pay us on a booking, and we account for the VAT within it.
The booking value is the total of the booking as the renter agreed it, including any extras and any delivery fee, as it stands after any change made to the booking. It does not include the security deposit, or anything you charge at the counter outside the booking.
A booking you enter yourself in your portal, for a customer at your counter, carries no commission at all. It blocks the vehicle here so the two cannot collide, and we take nothing for it.
A booking a renter makes on your branch page carries no commission at all, just like a booking you enter yourself, whether they pay online or at your desk and wherever they came to the page from. Your branch page means the booking pages of one of your branches on our website; the QR code you find in your portal for that branch leads there too. In every other respect, a booking made on your branch page is a booking made through Rentrium, and this agreement applies to it as to any other. A booking a renter makes anywhere else on Rentrium, such as through search on our website or in our mobile application, carries commission under this section, even if the renter got there from your branch page.
Listing on Rentrium also requires a subscription, monthly or yearly, at the price shown in your portal. Your first period begins on the day its invoice is paid or, if a coupon makes that period free, on the day you start the subscription. Each later period begins when the one before it ends, even if the invoice for the new period has not yet been paid, and is invoiced at no more than the list price of your first period, before any coupon discount, for the length, monthly or yearly, you chose then; the only exception is paying a year ahead, described below. If your subscription lapses and you start it again, the new period begins the way a first period begins, at the list price and for the length your subscription had when it lapsed. A coupon code you enter when you start your subscription can reduce the price of your subscription periods or make them free, and it can also set a lower monthly and yearly price for a number of subscription months you pay for after its discount periods, as section 11 describes. A period is invoiced at that lower price only if all of its months fit within the months not yet used, and only if that price is lower than the period's list price; a monthly period uses one month and a yearly period twelve. While the discount periods of such a code last and no month has yet been invoiced at its lower price, you may pay ahead for the first period that follows them at the lower price, as a year or, if your subscription is monthly, as a month. For a payment ahead, nothing is invoiced and nothing is owed before the payment is complete, and a payment ahead that was not completed does not bind you; once it is paid, we issue the invoice for that period. A payment completed after the period has already been invoiced by the renewal of your subscription, or after another period has already been paid ahead, is refunded to you, and no invoice is issued for it. If you pay a year ahead, your subscription is yearly from that period on, and its later yearly periods are invoiced at the yearly list price that applied when you paid ahead. We charge you no listing fee, no fee per vehicle and no fee per booking beyond the commission above.
One exception to the first paragraph of this section. From time to time we open an introductory period for companies registering with us. If yours registered while it was open, no commission at all is owed on bookings made through Rentrium within one month of the day you registered, and your portal shows the date that month ends. When it ends the commission above applies again to bookings made from then on, and neither of us has to do anything for that to happen. Nothing else in this section changes: a booking you enter yourself, like a booking a renter makes on your branch page, still carries no commission, and the deposit is still never charged online.
The introductory period is the same offer to every company that registers while it is open — one month, on these terms, earned by registering and by nothing else. It is not a decision we take company by company — we do not grant it to one company and refuse it to another, and we neither extend nor shorten it for anyone. We decide when it is open and we do not commit to keeping it open, but closing it can never shorten a month already running, and a company that registered while it was closed is not in it and does not join it later.
We may agree a different commission rate with an individual rental company. Where we do, we agree it with that company in writing, and from the date agreed it applies to bookings made with that company in place of the rate in the first paragraph and of any introductory period.
6. How the money moves
When a renter pays online, they pay you. The payment goes in full into your own account with the payment provider you connected in your portal, under your own contract with that provider. We withhold nothing from it and we pay nothing out to you, because the money does not pass through us. The rental is supplied by you, contracted with you and invoiced by you, and we are not the seller of it.
What your payment provider charges you — for a payment, a refund or a chargeback — is a matter between you and that provider. We add nothing to it and take no part of it.
The security deposit is never our money. It is not part of any amount charged online. You take it, hold it and return it yourself, on your own terms, and any record of it kept here is a record rather than a transaction.
When a renter pays at your desk, nothing is charged online: they pay you directly, on your own terms, when they collect the vehicle. If that booking carries commission under section 5, the commission is owed under section 7 whether or not the renter pays you. If they do not turn up, section 7 says how to report it.
7. When commission becomes owed
Commission on a booking becomes owed 24 hours after the booked drop-off time, unless by then the booking has been cancelled or you have reported it as a no-show. If you mark the vehicle as returned before that, it becomes owed at that moment. On a booking paid online it becomes owed only once the payment has succeeded. While your portal is limited under section 9 because an invoice is overdue, commission does not become owed on any booking; on a booking on which it would have become owed in that time, it becomes owed 24 hours after the limit is lifted, unless by then the booking has been cancelled or you have reported it as a no-show.
If a renter who was to pay at your desk does not turn up, you can report a no-show from your portal once the booking’s pickup time has passed — the earliest pickup time it has had, if it was changed — and until commission on the booking has become owed. Reporting it cancels the booking, and no commission is owed on it. It cannot be reported once a pickup or return handover has been recorded, once the renter has reviewed the booking, or once your staff have added a photograph to the booking’s shared record. While your portal is limited under section 9 you cannot report one; but no commission becomes owed in that time either, as the first paragraph of this section says, so you can report it once the limit has been lifted, until commission on the booking becomes owed. If you cancel such a booking yourself at or after its pickup time, you state the reason for the cancellation; if you state that the renter did not turn up, the cancellation is recorded as a no-show. In any case, the cancellation is refused in the same cases as reporting a no-show.
We record who reported each no-show and when, the renter’s booking page says that one was reported, and we can see how often each company reports them. We also record the reason for each such cancellation. Reporting a no-show for a renter who did turn up, stating a cancellation reason that is not true, and cancelling a booking for which you handed the vehicle over to the renter are each a breach of this agreement.
Commission is worked out on the booking value as it stands when it becomes owed, at the rate that applied when the booking was made. A booking made before a version of this agreement took effect keeps the commission terms of the version in force when it was made.
8. Cancellations, refunds and commission
When a renter cancels a booking paid online, the refund is worked out from the cancellation rule you published for that booking. We do not decide what is refunded; your rule does, and it is applied to the copy of your terms that the booking carries. A booking the renter pays at your desk has nothing charged online, so cancelling it refunds nothing through Rentrium, and a late-cancellation fee your rule provides for cannot be collected through Rentrium: whether you can recover it is a matter between you and the renter.
A refund is made through your payment provider where your provider lets us make it. Where it does not, we tell you the exact amount, in your portal and by email, and you refund it to the renter yourself, directly and without undue delay; we tell the renter that you will. If your provider does not complete a refund we have asked it to make, we ask it again until the refund is made or your provider tells us it cannot be made through Rentrium; in that case the refund is yours to make, as above, and we tell you the amount in the same way. We never tell a renter that a refund has been made when no money has moved.
A booking cancelled before its commission became owed owes none, whoever cancelled it and whatever your rule let you keep. Once commission on a booking the renter pays at your desk has become owed, the booking can no longer be cancelled or changed through Rentrium. If, after its commission became owed, a booking paid online is refunded through your provider, or we tell you to refund part or all of it yourself, the commission is reduced in proportion to that refund.
You may cancel a confirmed booking yourself. If the renter paid online, they are refunded in full regardless of your cancellation rule, because the cancellation was not theirs.
9. Invoices
After each calendar month closes, we issue you one commission invoice for the commission that became owed during that month, VAT included. A month in which no commission is owed produces no commission invoice. A commission invoice is due 30 days after it is issued.
Subscription invoices are issued for every period that is not free (section 11), and each is due 10 days after it is issued; the invoice for a period you paid ahead is issued after you have paid for it (section 5). Every invoice is in your portal, where you also pay it, and we email you when one is issued. The earnings screen shows each booking on which commission has become owed and the commission on it, and the whole ledger can be exported as a spreadsheet.
If an invoice of ours is still unpaid after its due date, your vehicles stop being offered to renters and your portal is limited to Billing until every overdue invoice is paid. We email you when that happens. Bookings already made are not affected, and while the limit lasts no commission becomes owed on them; section 7 says when it does. Paying the last overdue invoice restores both, with nothing further for you to do.
You are responsible for your own invoicing to the renter and for your own tax obligations on the rental. We do not invoice the renter on your behalf.
10. How search results are ordered
Results are ordered newest first by default. That is the only ordering we apply and it is not influenced by anything you pay us, by how much business you do here, or by any assessment we make of you.
A renter may re-order the results themselves by price or by rating, and may filter them. Those are the renter's choices, applied to the results already found, and we do not weight them.
We do not sell placement, we do not accept payment to rank a vehicle higher, and there is no promoted or featured position anywhere on this site. If that ever changes we will say so here before it does.
The badge shown on a highly rated company is worked out from that company's own reviews and awarded automatically. It cannot be bought, requested or switched on, and it does not change the order of results.
11. Whether we treat anyone differently
The ordering, the search, the badge rules and the terms of this agreement are the same for every rental company. We do not give any company better placement or access to data that another company does not get. We make differences between companies in two things only. The first is commission, and both differences are described in section 5: the introductory period, open on identical terms to every company that registers while it is running, and a rate agreed in writing with an individual company. The second is the price of the subscription, together with the payment ahead that a code with a lower price allows. Each company pays no more than the list price its subscription first began at, unless it pays a year ahead (section 5), so a rise in the price applies only to subscriptions that first start after it and to years paid ahead after it. In addition, coupon codes reduce the price of subscription periods or make them free, by a percentage or by a fixed amount, for some of those periods or for all of them; no invoice is issued for a period that becomes free. A code may also set a lower monthly and yearly price for a number of subscription months you pay for after its discount periods, and it then lets you pay ahead for the first period that follows them (section 5). A code is entered when you start a subscription and is not applied to a subscription that has already begun; entering it when you register does not reserve it, and a subscription starts with a code on the day the first period it applies to begins (section 5), not on the day you enter it. If, however, you entered at registration a code that sets such a lower price, that lower price also applies to your first subscription when you start it without the code, monthly or yearly, even if the code is no longer offered; this counts as your company’s one use of the code. Some codes we announce publicly, for example on the registration page, and while such a code is offered every company starting its subscription may use it on identical terms; others we give to an individual company, and whether to do so, to which company and on what terms is our decision in each case. Each company may use each code only once. A code may apply only to monthly or only to yearly subscriptions, until a set date or for a set number of uses, and we may change its terms or withdraw it; the lower price a code sets may nonetheless also apply to yearly periods (section 5). A change that makes a code’s terms less favourable applies only to subscriptions that start after it, and a code that has been withdrawn, has ended or has been used up can no longer be used. A subscription that started with a code while that code was on offer keeps that code’s discount on the terms the code had then, for the periods the discount covers and for as long as the subscription continues without a break; it keeps the lower price that the code sets for all of that price’s months, even if the subscription lapses and starts again. Apart from the payment ahead in section 5, a coupon changes nothing else in this agreement.
12. Where else your listings appear
Your listings appear on this website and in our mobile application, in every language the site is published in. The site chrome is translated; what you write about a vehicle is shown in the language you wrote it in, because we do not translate your words.
We do not syndicate your listings to any other site, we run no affiliate programme, and no third party markets your vehicles through us. If we ever do any of those things we will tell you here first, with the notice period in section 19.
13. Your photographs and your words
Your photographs, your descriptions, your company name and your logo remain yours. Listing on Rentrium gives us permission to show them to renters on this site and in our application, and in a search engine result or a link preview for the page they appear on. That permission is non-exclusive and it lasts as long as the listing does.
We do not use your photographs in advertising for Rentrium without asking you first.
Photographs your staff add to a booking’s shared photo record are separate from your listings. The customer of that booking can see every one of them — for a booking you took at your own desk, once the customer has its reference — and adding one gives us permission to show it to that customer and to keep it on the booking for as long as the booking record is kept, including after the listing or this agreement has ended. We send no booking confirmation for a booking taken at your desk, but if you recorded the customer’s email address, we may email them its reference in a pickup reminder or a review invitation; you can also give it to them yourself. Whoever on your staff added a photograph can remove it only within 15 minutes of adding it; after that it stays on the booking. We can remove one ourselves where the law or this agreement requires it, and we keep a record when we do. Handover photographs are not part of that record, and no customer is ever shown one.
You confirm that you have the right to give us that permission for everything you upload.
14. Personal data
A booking gives you what you need to hand over a vehicle: the renter’s name, their email address and telephone number if given, their driver age, any driving licence details they chose to provide, the delivery or collection address where they asked for delivery, and the language they were reading the site in. It also shows you every photograph added to the booking’s shared photo record from the renter’s side, labelled with the route it came through — the booking reference or the renter’s account. That label records the route, not the person: you hold the booking reference yourself, and anyone who holds it can add photographs on the renter’s side. We give you that data for that booking, and you decide for yourself what to do with it after the rental ends.
You may use it to perform the rental, to meet your own legal obligations and to deal with a dispute about it. You may not use it to market to that person outside Rentrium unless they have separately agreed with you that you may.
You can see only your own company's data. No rental company can read another's bookings, customers or figures.
We keep the booking record, the customer record on that booking and the commission ledger line, because they are the record of a contract and the basis of invoices that both of us have to keep, and with them the photographs on the booking’s shared record. If a renter asks us to erase their account we do that without deleting any of those, and the account deletion does not remove your copy of what you already hold.
For the booking data we send you, each of us decides for itself what it does with it and each of us answers for its own decisions. Your own customer records are different: the customers you enter at your desk, the customer list you build and the notes you write on it sit in our database because we provide the software you use, but they are yours. We do not decide what goes into them, we do not use them for our own purposes, and we hold them on your instructions alone. Where the law requires a written arrangement between us about that, we will agree one with you rather than assume this clause is enough.
15. Reviews
A review can be written only by the person whose booking it was, from an account whose email address has been confirmed, only for a booking that was confirmed and never cancelled, and only once the rental period has ended. A cancelled booking — including one you reported as a no-show — and a booking still awaiting payment or your confirmation cannot be reviewed. There is one review per booking, and it can be left for ninety days after drop-off; after that the booking can no longer be reviewed.
You cannot hide, edit or delete a review about you, and neither do we on request. You get one public reply to each review, in your own words, and that reply cannot be changed afterwards.
We remove a review only where it breaks the law or our published rules, not because it is unfavourable. The person who wrote it keeps control of it: they can edit or delete their own review at any time, and if they delete their Rentrium account their reviews go with it. Neither is something you or we can ask for or prevent.
16. Restricting, suspending or ending your listing
We may restrict a single listing, suspend your listings, or end this agreement, on any of the following grounds and no others.
- You are in breach of this agreement, or of the rental terms you published to a renter.
- A listing is unlawful, or misdescribes the vehicle it offers.
- You repeatedly fail to honour bookings made through Rentrium.
- The details you gave us are false, or your ΑΦΜ is not yours.
- A law, a court, or a regulator requires it of us.
- Fraud, or a security risk to renters or to the platform.
- An invoice of ours is unpaid after its due date. This ground is applied by the software itself, as section 9 describes, and it lifts as soon as every overdue invoice is paid.
If we restrict or suspend, we tell you at the time it takes effect, on a durable medium, and we say which of the grounds above applies and what specifically you did or did not do. If we end the agreement, we give you at least thirty days' notice with the same reasons, except where a law requires otherwise or where the breach has been repeated.
If we lift a restriction or a suspension we restore you without undue delay, and your data, your listings and your bookings come back with you.
17. If you disagree with a decision of ours
Write to us at support@rentrium.gr. Tell us what happened and why you think it is wrong. We will look at it, answer you in writing, and say what we have decided and why.
We do not operate a formal internal complaint-handling system of the kind the largest platforms are required to run, and we do not claim to. What we offer is the route above, and it is available to you for any restriction, suspension or termination.
Using it does not take away any right you have to go to court, and nothing in this agreement obliges you to exhaust it first.
18. Selling the same vehicle elsewhere
You are free to list the same vehicle anywhere else, on any terms, at any price, including a lower one. We do not require price parity and we do not require exclusivity.
What you offer here is what a renter can book here, and keeping your availability accurate across whatever channels you use is yours to manage.
19. Changing these terms
We may change this agreement. If we do, we will tell you on a durable medium at least fifteen days before the change takes effect, and longer if the change is one you would need time to adapt to commercially or technically.
You may end this agreement at any time before the change takes effect, and doing so is enough to refuse it.
We may make a change without that notice only where a law requires it of us immediately, or to deal with an unforeseen and imminent danger such as fraud, malware or a security incident.
20. Ending the agreement
You may stop listing at any time and end this agreement by telling us. We end it as set out in section 16.
Bookings made through Rentrium before this agreement ends survive it, and you must honour them, or cancel them under the terms they were made on. For those of them that carry commission under section 5, the commission becomes owed as section 7 describes, and every invoice for it remains payable.
Your invoices, your earnings records and the commission ledger remain available to you and to us afterwards, because both of us need them for tax.
21. Responsibility between us
We are responsible for running the marketplace with reasonable skill and care: sending a renter who pays online to your payment provider for the right amount, sending the booking to you, showing the renter your terms before they book and keeping the record of them, applying your cancellation rule, and requesting refunds through your provider where it lets us.
You are responsible for the vehicle, the rental, the handover, your insurance and roadworthiness, the accuracy of your listings, and the rental contract itself. If a renter has a claim about the rental, it is yours.
Neither of us is responsible to the other for loss of profit or business that could not reasonably have been expected. Nothing here limits either of us for fraud, for gross negligence, or for anything the law does not allow to be limited.
We do not promise the site will be available without interruption. We do promise to tell you when something has gone wrong that affects your bookings.
22. Law and courts
Greek law governs this agreement. The courts of Athens have exclusive jurisdiction over any dispute arising from it.
If any part of this agreement turns out to be unenforceable, the rest of it stands.
